Planning a destination wedding is an exciting adventure, but it also comes with a few extra logistics that require thoughtful preparation. From choosing the perfect location and booking travel to coordinating vendors from afar and keeping guests informed, having a clear plan can make the entire process feel much more manageable. This destination wedding checklist and timeline breaks down what to do at every stage, from 12 months before your wedding through the final days leading up to your celebration.

Whether you’re exchanging vows on a tropical beach, in the mountains or at a romantic European villa, use this guide to stay organized and enjoy every step of planning your destination wedding.

12 + Months Out:

• Decide on a region or location where you want to wed.
• Hire a Houston wedding planner who has expertise in destination wedding planning.
• Schedule your venue tours. If you are planning to wed overseas or at a location that is quite far away, plan at least one trip to visit your destination and view several venue options at once, and bring your planner with you. Make sure to schedule menu tastings, if possible, since you might not get another chance before your big day.
• Work out your budget; be sure to include line items for both pre-wedding and wedding travel, for yourselves, and any other vendors or guests for whom you will be covering travel costs.
• Determine if you will need passports and/or visas for your wedding destination.
• Create your guest list
• Research marriage requirements in your destination locale.

9-11 Months Out

• Send out save-the-dates. This step is especially important for destination weddings, since your guests will need to make arrangements for time off work, and travel well ahead of your event.
• Reserve a room block at one or more hotels in your location. Depending on the size and financial situation of your guests, you may want to book a room block at your wedding hotel, inn, ranch, or resort, and at a nearby more budget-friendly property, to give your guests choice.
• Start planning your other wedding-related events. Look into local group activities and restaurants in your location, and determine if you want to have a rehearsal dinner, sightseeing excursion,  golf outing, and/or other activities at your destination wedding.
• Create your wedding website, and include information about your destination, local accommodations, passport/visa needs, and any other important details your guests will need to help them plan their trip.
• Determine whom you want in your bridal party and “propose” to your bridesmaids with a custom invitation or special gift.
• Meet with your wedding planner to start selecting vendors, both those you will hire in your destination location, and those you may wish to bring with you from Houston.
• Book your wedding photographer.
• Purchase your wedding dress.

6-8 Months Out:

• Take engagement photos. This is a good opportunity to get to know your photographer better, and to capture great images at favorite spots in your hometown.
• Schedule your dress fittings.
• Choose and purchase your invitations if you did not already do so when purchasing your save-the-dates.
• Hire a local baker in your destination location, or work with your venue’s catering department on cake design, if you are planning on having a wedding cake.
• Schedule dates and locations for your engagement party, bridal shower, and bachelor/bachelorette celebrations.
• Review venue and vendor contracts with your wedding planner.

3-5 Months Out

• Finalize your guest list and send out invitations. Make sure to include an insert with destination information, room booking details, and maybe an artist-drawn map for fun!
• Purchase your airline tickets, and encourage your guests to do so, as well.
• If you are planning a honeymoon that is separate from your destination wedding, make your honeymoon travel arrangements.
• Purchase your accessories and men’s formalwear.

2-3 Weeks Out

• Confirm your hotel and airline reservations.
• Check up on your room block bookings, and add more rooms if needed and able.
• Create your seating chart.
• Pick up your wedding dress.
• Pick up your wedding rings.
• Track down any invitees that haven’t responded and confirm if they plan to attend your destination wedding.

1-2 Weeks Out

• Put together your packing list. Pick up any remaining supplies or items you will need (i.e. electrical adapters, sunscreen and hat, luggage tags and passport holders, bridal “emergency kit” items).
• Create place cards.
• Check the local weather report for your destination, and make plans for any possible inclement weather if needed.
• De-stress and pamper yourself with a massage or gentle facial.

1-5 Days

• Head to your destination…it’s almost time for the big day!
• Get a mani-pedi.
• Do a trial run of your makeup and hairstyle.
• Meet your wedding planner and vendors to confirm that everyone is on the same page.
• Take time out for a private drink or dinner with your spouse-to-be, you both need and deserve it!
• Have your dress steamed.
• Confirm in-room amenity bag items and delivery for arriving guests.
• Enjoy your rehearsal dinner (and remember, it is proper to invite all guests to the rehearsal dinner at a far-off destination wedding). Hand out pre-wedding gifts to your bridal party.
• Stay hydrated, get enough sleep, and get ready to get married!!
